Position: Business Operations Assistant
Type: Full time, hourly non-exempt
Work Days: Monday – Friday
Work Hours: Generally 8 hours per day with flexible working hours.
Work Location: In Office – 45 Commerce Ave, South Burlington, VT 05403

The Business Operations Assistant supports our business operations across Finance, Project Management, Sales, and HR. This role will play a crucial part in ensuring smooth daily operations and contributing to the overall efficiency and success of our organization across various departments.

Accountabilities:

● Financial Support:

○ Processes accounts payable and receivable.
○ Ensure compliance with financial policies and procedures.
○ Credit Card Management including helping to monitor financial transactions and ensure accuracy.
○ Performs bank reconciliations to ensure accuracy and quickly resolve discrepancies.
○ Recording accurate and detailed financial journal entries.

● Project Management Support

○ Maintains weekly GPS audits.
○ Supports Vehicle Management including

i. Insurance, Registration, Parking Passes, Fuel Card Management, etc.

○ Supports Inventory Management in data entry to maintain optimal levels and meet operational needs efficiently.

● Sales Support:

○ Coordinates the preparation, submission, evaluation, and follow-up of proposals to secure contracts or projects in accordance with client requirements and organizational goals.

● Human Resources Support:

○ Administers Payroll in compliance with company policies and regulatory requirements.
○ Manages Onboarding and Performance Management using Yard Management Software.
○ Processes and maintains background checks.

● Office Operations:

○ Ensure office supplies are stocked and equipment is maintained.
○ Manage vendor relationships and negotiate contracts.
○ Implement and maintain office policies and procedures.
○ Handle confidential information with integrity and discretion.

Software:

NCMI provides training for its industry specific software, although employees are expected to
have a strong knowledge of Office and other general office software.

Qualifications:

● Proven experience in Business Operations or similar role, preferably the construction industry.
● Strong knowledge of financial principles and practices.
● Experience in human resources management, including payroll and benefits administration.
● Familiarity with sales processes and strategies.
● Excellent organizational and multitasking abilities.
● Outstanding leadership and communication skills.
● Bachelor’s degree in Business Administration, Finance, Human Resources, or a related field.
